Refund Policy

At TravelXI, we work with global hospitality providers, hotels, transport partners, and experience operators to build premium travel packages for football fans.
Because many components of our packages require advance, non-refundable supplier payments, our refund structure follows strict supplier rules.

This Refund Policy explains how cancellations, changes, and refund requests are handled.

1. General Refund Principles

By purchasing any TravelXI service or package, you acknowledge that:

  • Some components are fully non-refundable once purchased
  • Refund eligibility depends on third-party supplier rules
  • TravelXI can only issue refunds when suppliers authorize them
  • Refund amounts may be partial and not include service fees, taxes, or processing costs

TravelXI does not guarantee refunds for client-initiated cancellations.

2. Non-Refundable Items

The following components are always non-refundable, regardless of reason:

✔ Hospitality match access

(This includes secured access to VIP lounges, hospitality seats, or matchday experiences.)

(Where included as part of a hospitality package or partner arrangement.)

✔ Hotel reservations purchased on non-refundable terms

✔ Customized itineraries and concierge fees

✔ Any portion of the package paid to suppliers in advance

✔ Processing fees, bank charges, currency conversion fees

These elements cannot be refunded because TravelXI must pre-pay partners to secure spots for your package.

3. Refundable Items (Case-by-Case)

Some package components may be refundable depending on supplier policies, including:

  • Airport transfers
  • Match tickets
  • Local tours and experiences
  • Activity add-ons
  • Select hotel bookings (only if booked under flexible terms)

Each refund is processed individually based on supplier terms.


4. Customer-Initiated Cancellations

If you choose to cancel your booking for personal reasons:

⛔ Full refunds are not guaranteed

⛔ Deposits are non-refundable

⛔ Hospitality access components are always non-refundable

Refunds may be possible only for components where our suppliers allow reimbursement.


5. TravelXI-Initiated Cancellations

TravelXI may cancel a booking if:

  • Payment is incomplete
  • Required documents are not provided
  • Fraud or misuse is suspected
  • Supplier availability changes

In these cases, eligible refunds will follow supplier terms.
Where suppliers do not refund TravelXI, we cannot refund clients.


6. Supplier-Initiated Changes or Cancellations

If a hotel, hospitality provider, transport operator, or partner cancels or modifies your booking:

TravelXI will offer one of the following:

✔ A replacement of equal or greater value

✔ A partial refund (if the supplier provides one)

✔ A credit toward future TravelXI services

Cash refunds are only possible when suppliers release funds back to TravelXI.


7. Force Majeure (Uncontrollable Events)

TravelXI is not responsible for disruptions caused by:

  • Natural disasters
  • Epidemics or health emergencies
  • Government restrictions
  • Border closures
  • Airline strikes
  • Stadium issues or event rescheduling
  • Political instability

In such cases, refunds or credits depend solely on supplier rules.


8. No-Show Policy

No refunds or credits are granted when:

  • You fail to attend an event
  • You miss check-in times
  • You arrive late for tours
  • You miss a flight or transfer
  • You fail to meet entry requirements (visa, passport, ID, etc.)

9. Refund Processing Timeline

If a refund is approved:

  • Processing typically takes 14–30 business days
  • Time varies depending on suppliers and banking institutions
  • Refunds are issued to the original payment method only

10. Partial Refunds

If only certain components are refundable:

  • The refund will reflect only the eligible portion
  • TravelXI service fees are not refundable
  • Package discounts/promotions are not prorated

11. How to Request a Refund

Include:

  • Full name
  • Booking ID
  • Reason for the request
  • Supporting documents (if applicable)

A TravelXI concierge will review your case and update you on eligibility.


12. Acceptance of This Policy

By booking with TravelXI or accessing our services, you agree to this Refund Policy in full.
